4. Why we use your data (lawful basis)

We process your personal data on the following lawful bases under UK GDPR:

4.1 Contract performance

To deliver the services you have engaged us for — including communicating about your project, managing your account, issuing invoices, and providing technical support. We need this information to fulfil our contract with you.

4.2 Legitimate interests

  • To respond to enquiries and proposals from potential clients
  • To send relevant service updates, case studies, or insights to existing clients and prospects (you can opt out at any time)
  • To improve our website and services based on usage data
  • To protect our business from fraud, misuse, and legal risk
  • To maintain records of our work for quality assurance and dispute resolution

4.3 Legal obligation

To comply with applicable laws, including tax obligations, financial record-keeping, and requests from regulatory authorities.

4.4 Consent

Where we send marketing communications to individuals who are not existing clients, we rely on your consent. You can withdraw consent at any time by clicking unsubscribe in any email or contacting us directly.

5. Who we share your data with

We do not sell your personal data. We share it only where necessary:

  • Project management and communication tools — such as Basecamp or similar platforms used to manage client work. These providers process data on our behalf under data processing agreements.
  • Accounting and invoicing software — to manage billing and financial records.
  • Email service providers — for newsletter delivery and transactional emails.
  • Analytics providers — such as Google Analytics (anonymised), to understand website usage. See Section 11 for cookie details.
  • Hosting infrastructure providers — where your platform or data is hosted on our managed infrastructure.
  • Legal and regulatory bodies — where required by law.

All third-party processors we use are required to protect your data in accordance with UK GDPR and are subject to data processing agreements.

6. How long we keep your data

  • Client project records — retained for 7 years from the end of the engagement, in line with UK financial record-keeping requirements.
  • Invoices and financial records — retained for 7 years.
  • Enquiries that did not result in an engagement — retained for 12 months, then deleted.
  • Newsletter subscribers — retained until you unsubscribe or request deletion.
  • Website analytics data — retained in anonymised form for up to 26 months.
  • Cookie data — as specified in Section 11.

We review data we hold annually and delete anything we no longer need for a legitimate purpose.

7. Your rights

Under UK GDPR, you have the following rights in relation to your personal data:

  • Right of access — you can request a copy of the data we hold about you.
  • Right to rectification — you can ask us to correct inaccurate or incomplete data.
  • Right to erasure — you can ask us to delete your data where we have no lawful reason to keep it.
  • Right to restrict processing — you can ask us to limit how we use your data while a dispute is resolved.
  • Right to data portability — you can request your data in a machine-readable format where technically feasible.
  • Right to object — you can object to processing based on legitimate interests, including marketing.
  • Rights related to automated decision-making — we do not use automated decision-making or profiling that produces significant effects on individuals.

To exercise any of these rights, contact us at hello@resolvedgroup.co.uk. We will respond within one month. We may need to verify your identity before fulfilling a request.

8. How we protect your data

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, destruction, or alteration. These include:

  • Encrypted data transmission (HTTPS/TLS) on all web properties
  • Access controls limiting who within our team can access client data
  • Secure, access-controlled project management platforms
  • Regular security reviews of our own systems and infrastructure
  • Staff awareness of data protection obligations

No method of data transmission or storage is 100% secure. If you have concerns about the security of your data, please contact us.

9. International transfers

Where we use third-party services that process data outside the UK or European Economic Area (EEA), we ensure that appropriate safeguards are in place — such as Standard Contractual Clauses approved by the ICO — to protect your data to the same standard as required under UK GDPR.

Our core team and primary infrastructure are UK-based. We will inform you if any significant international transfer of your data is required in connection with your engagement.

10. Children

Our services are directed at businesses and professional individuals. We do not knowingly collect personal data from children under the age of 16. If you believe we have inadvertently collected data relating to a child, please contact us immediately and we will delete it.

11. Cookie policy

What are cookies?

Cookies are small text files placed on your device when you visit a website. They allow the website to remember your actions and preferences over a period of time, so you don’t have to re-enter them when you return.

Cookies we use

Essential cookies — These are required for the website to function correctly. They cannot be switched off. They include session management, security tokens, and load balancing. No personal data is collected beyond what is technically necessary. These do not require consent.

Analytics cookies — We use Google Analytics to understand how visitors use our website — which pages are visited most, how long people stay, and where they arrive from. This data is anonymised and aggregated. We do not use it to identify individuals. These cookies are only set with your consent.

Functional cookies — We may use cookies to remember your preferences (such as whether you have dismissed a banner). These do not track you across other websites and are only set with your consent.

We do not use advertising, tracking, or retargeting cookies. We do not allow third parties to place tracking cookies on our website for their own purposes.
